Student data file
The data file is used for recording information on students who participate in Kiinko’s training and education activities. The primary purpose of the data file is the processing of student data to facilitate the administration of Kiinko’s training and education activities. In relation to this purpose, the data can be used for, among other things:
The primary basis for the processing of personal data is the student registering or applying for studies at Kiinko.
The following types of information, among others, can be recorded on data subjects:
Personal information, such as name, job title, gender, date of birth/national ID code, nationality, native language, student number, study right number, address details, telephone numbers and e-mail addresses as well as special dietary needs.
Place of work and the related address details, telephone numbers and website address, number of employees, industry, Business ID, customer number and online invoicing details, if any.
Education, degree and order history, registrations and applications, information on academic background, courses completed and current academic status, invoicing information, other correspondence and actions related to the customer relationship.
Information pertaining to students and their studies is stored for the period of time stipulated by the legislation governing our training and education services. Information concerning students who have completed degrees offered by Kiinko is stored permanently. If there is no legislative basis for the storage of data, student information is stored for a maximum of 10 years after the end of the last course or seminar attended by the person in question. Student information is also stored in our marketing data file for those students who have indicated their consent. Information used for invoicing purposes is stored for the period stipulated by accounting legislation.
The data is primarily obtained from the data subjects themselves or the party that places an order for services (such as an employer). Identifying data may also be sourced from the national study credit, degree and qualification disclosure service Koski.
Information from the student data file is transferred to Kiinko’s marketing data file for the purpose of after-sales marketing and communication. Student information is disclosed to the authorities in accordance with legal obligations (including the national study credit, degree and qualification disclosure service Koski, the Finnish National Agency for Education, Statistics Finland, the labour market authorities, apprenticeship offices, pension insurance companies). Information is disclosed to partners who participate in the provision of training and education services (including instructors, hotels, restaurants and catering service providers as well as training partners).
The information is not transferred outside the European Union or the European Economic Area unless the student has specifically consented to such disclosure for a particular purpose (such as an international study trip).
